How it works & FAQ
Swarmify tests one outreach message against every prospect before you send it. Each prospect gets its own research agent and its own analyst, so you see how your message lands with each person — and get an honest rewrite or a clear “don’t send” where it doesn’t fit.
Step by step
Do these in order the first time. Bold text matches the buttons and fields on screen.
Sign in or create an account
Sign-in page
On the home page, click Get started or Sign in. Then use Continue with Google, or choose Create account and sign up with your email and a password. If you sign up by email, confirm the address from the email we send before signing in.
Were you sent an invite link? Open the link first, then sign in or create your account from that page — you’ll be added to the shared organization automatically.
Create your organization (first sign-in only)
Workspace header
A new account starts with No organization yet. Click Create organization and fill in:
- Organization name — anything, e.g. “Acme Sales”.
- Organization address — a short unique ID using only lowercase letters, numbers and dashes, e.g.
acme-sales. No spaces or capitals. If it’s taken, try another.
You become the organization’s owner. If you belong to several organizations, switch between them with the dropdown at the top right; the + button creates another. Everything below lives inside the organization that’s selected.
Describe what you sell
Offerings tab
Offerings belong to the whole organization and can be reused by any campaign. Click New offering and fill in:
- Name — the product or program.
- Description — what it is and who it’s for.
- Features — concrete capabilities, format, price, duration, etc.
- Allowed claims — the statements the agents may make: outcomes, proof points, credentials. Anything not supported here or in the fields above will be blocked by the claims checker.
Click Save offering. There is no separate “not allowed” field yet — if something must never be said, write it into Allowed claims as an explicit exclusion (e.g. “Do not claim job placement or guaranteed salary increases”).
Create a campaign
Campaigns tab
Type a name in the Campaign name box and click Create campaign. It appears in the list as “0 prospects · draft”. You’ll come back to it in step 6.
Upload your prospects
Upload prospects tab
- Pick the campaign in the Campaign dropdown first. Prospects belong to the campaign you choose here.
- Click Choose CSV (or drop a file). See “What should my CSV look like?” below.
- Match each field to a column from your file. Only full name is required; the others are optional but make research better.
- Check the preview and the “valid prospects · duplicates removed” count. Fix any row errors shown in red.
- Click Import prospects. The button stays grey until a campaign is chosen and there are no errors.
After importing, a Research all button appears right here. You can start research now or from the campaign page in the next step — either works.
Set the offering and parent message, then research
Campaigns tab → Open
On the Campaigns tab, click Open next to your campaign. At the top:
- Offering — choose the offering from step 3. This is required: the swarm won’t start with “No offering”.
- Parent message — paste the one message you want to test across every prospect (e.g. your outreach email).
Click Save campaign. Then, in the Prospects list below, click Research all (or the magnifier next to one person). Each prospect gets its own research agent that searches public sources and builds a dated, sourced fact file. Status moves from not started → Researching… → ready. Allow a minute or two per person; five run at a time. Keep the tab open until everyone shows ready.
Run the swarm
Campaign page → Campaign swarm
Scroll to Campaign swarm. The counter shows how many prospects are researched. Run swarm becomes clickable when the campaign has a saved parent message and every prospect in it is ready.
Click Run swarm and keep the tab open — the run is driven from your browser. For each prospect, an analyst agent scores how well the parent message fits that person. If it scores below your threshold, a variant agent rewrites it (up to your maximum tries); each rewrite is rescored by a fresh, independent tester and checked for invented claims. If no rewrite passes, the prospect is marked No fit. Finally an aggregator writes a summary across everyone.
The Agent activity grid shows each agent’s status live. One run covers up to your batch size (default 25) prospects.
Read the results
Campaign page, below the swarm
- Parent vs outcomes — one card per prospect with its verdict: Send parent, Send variant or No fit — don’t send, the score change (parent → final), and the recommended message or the no-fit reason.
- Aggregator report — headline, counts, insights, themes, no-fit patterns, drift flags and a recommendation. If it suggests a Revised parent message, click Re-run with this message to save it as the campaign’s parent message and start a new run.
- Prospect detail — expand a name to see the analyst’s reasoning, the facts it cited (with sources) and every variant attempt with its tester score and claims check.
- Ask this prospect’s agent — opens a chat with the agent for that one person. Ask why it scored the way it did, what angle might work, or have it look something up; new public facts it finds are saved to that prospect’s file.
Export, and come back later
Campaign swarm
Click Download CSV for a file with one row per prospect: name, title, company, type (parent / variant / no fit), recommended message, final score, parent score, best variant score, number of variant attempts, and the reason. For variants the reason is the independent reviewer’s view of the rewrite; for no fits it lists every attempt’s score and any claims the checker blocked. Use the file in your own outreach tools — Swarmify never sends anything.
Every run is saved under Run history with its date, parent message and counts. Click Open run to view any past run again.
